Heating equipment represents a significant investment, and proper insurance protects both you and our equipment. Below are our insurance requirements for commercial rentals and coverage options for all customers.
1 Commercial Insurance Requirements
For business-to-business (B2B) rentals, including construction companies, event planners, property managers, and commercial operations, the following insurance coverage is required:
Required Coverage
General Liability Insurance
Minimum $1,000,000 per occurrence / $2,000,000 aggregate
Inland Marine / Equipment Floater
Coverage equal to or exceeding the replacement value of rented equipment
Certificate Requirements
Your Certificate of Insurance (COI) must include:
- HeaterRental.com named as "Additional Insured"
- HeaterRental.com named as "Loss Payee" for rented equipment
- Policy effective dates covering the entire rental period
- Coverage limits meeting minimum requirements
- 30-day cancellation notice clause
2 COI Submission Process
How It Works
- Submit Request: Complete your rental request through our website
- Upload COI: Email your Certificate of Insurance to [email protected]
- Verification: Our team reviews your COI (typically within 2-4 business hours)
- Confirmation: Once verified, your rental is confirmed and scheduled
Important: Orders requiring COI verification will be placed on "Hold" until insurance is confirmed. To avoid delivery delays, submit your COI as soon as possible after placing your request.
3 Loss Damage Waiver (LDW)
For customers who don't have qualifying insurance coverage—including smaller contractors, event planners, or residential customers—we offer a Loss Damage Waiver option.
What is the LDW?
The Loss Damage Waiver is an optional protection that, for a fee, waives HeaterRental.com's right to hold you financially responsible for accidental damage to the rented equipment.

LDW Coverage Details
LDW DOES Cover:
- ✓ Accidental physical damage
- ✓ Mechanical breakdown from normal use
- ✓ Damage from weather events
- ✓ Fire damage (accidental)
LDW Does NOT Cover:
- ✗ Theft or mysterious disappearance
- ✗ Intentional damage or gross negligence
- ✗ Damage from misuse or improper operation
- ✗ Damage from using wrong fuel type
- ✗ Personal injury or third-party property damage
LDW Example
Rental Rate: $200/day for 5 days = $1,000
LDW Fee (15%): $150
Total with LDW: $1,150
With LDW, if the heater is accidentally damaged during normal use, you won't be charged for repairs (up to the equipment's replacement value).
4 Security Deposits
To protect against theft and ensure equipment is returned in good condition, we require security deposits on rentals.
How Deposits Work
- 1 Pre-Authorization: A hold is placed on your credit card (not a charge) for the deposit amount
- 2 During Rental: The hold remains in place throughout your rental period
- 3 Return & Inspection: Equipment is inspected upon return
- 4 Release: Hold is released within 48 hours after successful inspection
